Summary of Officers Duties

EXECUTIVE COMMITTEE

The Club, in Annual General Meeting, shall elect from amongst its members present an Executive Committee consisting of eighteen(18)members, two-thirds of whom shall be nominated from all classes of members without restriction, including Officer selected under Rule 9.Any Officer or Executive Committee Member of the Club must be a paid up member and must be

proposed, seconded, and accepted by the proposed member. Failure to do so by the closing date disqualifies the position. The Executive Committee shall conduct the general business of the Club, be responsible for its administration and the enforcement of its Rules, and for the employment of staff including rates of pay, which should be reviewed annually. The Executive Committee may use the Club for any special purposes and with any restrictions of admittance to any group of members they think necessary, subject to notice of such intention being posted on the Club Notice Board not less than two (2) days before such occasion. The Executive Committee shall meet at least once a quarter. The Chairman, Treasurer, Secretary shall be ex-officio members of all committees. A quorum shall be six (6).

COMMITTEE MEMBERS

No Executive Committee Member may be elected to more than one other Committee. When a member of a committee leaves the district or resigns, the said Committee shall have the power to co-opt another member to the committee. Any members seeking election to a committee must attend the Annual General Meeting in order that they can be duly elected, unless due to unforeseen circumstances they are unable to attend, and the Secretary has been duly notified. Elected members to the Executive Committee must have attended sixty per cent (60%) of the meetings held during the year in order to seek re-election to any Office, or as a committee member for the next year.

THE SECRETARY’S DUTIES

The Secretary shall:

  1. Keep a record containing Minutes of all meetings, all resolutions and business transacted.
  2. Deal with all correspondence and returns affecting the Club.
  3. Keep a close liaison with all committees and assist them as far as possible.
  4. Ensure that all fixtures and events are posted on the Club Notice Board and advertised as necessary.
  5. Keep an inventory of all property in the Club.
  6. For any outings outside the Club, the Secretary to sign any notices pertaining to that particular outing. In the absence of the Secretary, the Chairman may sign if required to do so.

THE TREASURER’S DUTIES

The Treasurer shall:

  1. Be responsible for all monies from any source received by the Club (with the exception of the Entertainments Committee)
  2. Ensure all monies received are paid into the Club’s bank accounts.
  3. Pay all bills and disbursements and shall be authorised to hold petty cash in such amounts as may be approved by the Executive Committee for payment of small amounts of cash.
  4. Keep an account of all receipts and payments in order that a Profit and Loss Account and a Balance Sheet may be prepared by an Accountant for presentation at the Annual General Meeting, or otherwise as required.

ENTERTAINMENTS COMMITTEE

The Club, in Annual General Meeting, shall elect from amongst members present (excluding Temporary and Visiting members) an Entertainments Committee consisting of five (5) members (excluding ex-officio members).The Entertainments Committee shall elect its own Treasurer, who shall be responsible for keeping a detailed account of all transactions which shall be presented to the Executive Committee at the end of each trading year. A member of the Entertainments Committee must be a member of the Executive Committee and will be required to report to the Executive Committee at each meeting. A quorum shall be three (3). The Entertainment of the Club is self-funding, with occasional assistance from the Executive Committee.
